Job Posting: Immediate full-time position available for a ADMINISTRATIVE ASSISTANT, Soulpepper

The organization resides in our own permanent facility, the Young Centre for the Performing Arts, and we will continue to grow our programming and education and outreach activities. Soulpepper is also the managing partner of the Young Centre and is responsible for all Young Centre programming activities.

The Position
Reporting to the Administrative Manager, the Administrative Assistant will support the entire staff for both Soulpepper and the Young Centre.  Specific responsibilities include but are not limited to:

  • Prepares and inputs daily complimentary ticket requests from staff, artists/company, and media/marketing offers
  • Prepares gift certificates and accompanying documentation, maintains gift certificate log and facilitates ticket requests for certificate redemption
  • Meeting minute-taking and scheduling for Board and various committees
  • Facilitates school group sales for Education Department, and liaises with Young Centre Box Office to ensure successful completion of transactions
  • Provides administrative assistance to the Executive Director
  • Coordinates ordering and distribution of office supplies weekly and is responsible for maintaining the staff kitchen
  • Responsible for processing of daily mail and maintaining postal meter and its supplies
  • Responsible for staff monthly attendance and time management information, including collecting information monthly, maintaining spreadsheets and working with the Director of Finance to distribute quarterly attendance summaries
  • Processes all couriering and shipping requests for the office
  • Monitors supply of Soulpepper stationery and business cards, liaises with all departments to determine the requirements for subsequent orders to maintain supply
  • Responsible for posting new positions for all departments as necessary
  • Other duties as required

Qualifications
The successful candidate will have:

  • Strong computer skills (Excel, Word, Outlook, Tessitura or other box office software)
  • Superior organizational and time-management skills
  • Advanced awareness of priorities and deadlines
  • Detail-oriented individual who is able to multi-task effectively and demonstrates initiative
  • Strong interpersonal and communication skills, both oral and written
  • Proven ability to manage confidential information
  • Exposure to working with senior volunteers
  • Ability to thrive in a fast-paced work environment with multiple deadlines
  • An interest and passion for the arts

Education/Experience

  • Background/education in arts administration preferred
  • Customer service experience and orientation
  • Demonstrated attention to detail and accuracy
